The successful candidate will be a key member of the project team and have a key role to play in providing administrative support to the Executive and the wider Project Team.

Executive Support Responsibilities

  • Administration Support
  • Diary Management
  • Organising meetings and inviting attendees
  • Taking and issuing minutes of meetings
  • Sub-Committees Executive Support
  • Organising meetings and inviting attendees
  • Taking and issuing minutes of meetings
  • Liaising with meeting Chairpersons
  • Booking meeting rooms and organising any required catering
  • Distribution of agendas and meeting documentation
  • Communications Department Support
  • Content management and upload for the website
  • Liaising with website support company
  • IT Department Support
  • Maintenance and updating of computer equipment database
  • Liaising with IT Support Contractor to address IT issues
  • Provide back up support for Senior Executive Team
  • Provide back up support/cover when necessary for Reception
  • Any other duties which may be assigned

Procurement Responsibilities

  • Assist the Project Controls and Programme Director in administration of all procurement and tenderdocumentation
  • Preparation of information for e-tender and publishing of tender notices and documents
  • Monitoring of tender queries and drafting/issue of responses.
  • Co-ordination of returned tenders, compliance checking and tender evaluations.
  • Preparation of final contract documentation for successful tenderers.
  • Support with the administration of supplier contracts
  • Any other duties which may be assigned
  • The Executive Support /Procurement Support will report to the Senior Executive Assistant.



  • Have appropriate experience working in an executive support role
  • Ideally have knowledge of administration of procurement (documentation and eTenders) ⋅ Have experience in a busy office environment
  • Have in-depth knowledge and application of Word, Excel, PowerPoint and Outlook including diary management
  • Have excellent written and verbal communication skills
  • Have experience of accurate minute taking and drafting
  • Have a structured way of working and strong organisational skills
  • Be able to interface with all levels of management and work with minimal supervision
  • The ability to attend meetings and prepare minutes/records of same
  • The ability to organise meetings for project personnel including any travel arrangements for project staff
  • The ability to carry out other administrative tasks as necessary to meet the needs of the project
