Executive Assistant / Procurement Support

Duration: 9 month maternity cover

Salary: 35-45k

Executive Assistant and Procurement Support Officer required for a 9 month contract in Healthcare. Ideal candidate will have experience of public procurement and administrative support at the executive level

Executive Support Responsibilities

Project Executive & NPH Project Team Team

  • Administration Support
  • Diary Management
  • Organising meetings and inviting attendees

Sub-Committees Executive Support

  • Organising meetings and inviting attendees
  • Taking minutes of meeting
  • Liaising with meeting Chairpersons
  • Booking meeting rooms and organising any required catering
  • Distribution of agendas and meeting documentation

Communications Department Support

  • Content Management System of the NCH website
  • Liaising with website support company

IT Department Support

  • Maintenance and updating of computer equipment
  • Liaising with IT Support Contractor
  • Provide back up support for Senior Executive Officer
  • Provide back up support/cover when necessary for Reception
  • Any other duties which may be assigned

Procurement Responsibilities

  • To assist the Project Controls and Programme Director in administration of all procurement tender
  • documentation
  • Preparation of information for e-tender and publishing of tender notices and documents to the National Procurement Website, E-Tenders
  • Responsible for monitoring of tender queries and responses
  • Responsible for co-ordination of returned tenders, compliance checking and tender evaluations.
  • Responsible for preparation of final contract documentation for successful tenderers


Qualifications and experience
The successful candidate will:

  • Have appropriate experience working in an executive support role
  • Ideally have knowledge of administration of procurement
  • Have experience in a busy office environment
  • Have in-depth knowledge and application of Word, Excel and Outlook including diary management
  • Have excellent written and verbal communication skills
  • Have experience of accurate minute taking
  • Have a structured way of working and strong organisational skills
  • Be able to interface with all levels of management and work with minimal supervision
